Inviting contractors to a project

Already have a vendor you trust? Invite them directly — they'll join free and bid on your project.

You don't have to rely only on contractors who find your project organically. If there's a vendor you already trust — or a contractor a board member recommended — you can invite them directly. They'll join BidMyCommunity for free and bid alongside any new contractors who find the project.

When to invite

  • A vendor your community has worked with for years
  • Someone a board member or other manager recommended
  • A specialist who does niche work that may not be searching the platform
  • A contractor you got a referral for and want a bid from

Step-by-step

  1. Open your project page

    From your dashboard, click into the project you want to invite someone to.

  2. Click "Invite contractor"

    Top-right of the project page. You'll get a small form.

  3. Enter their info

    Just their company name, contact name, and email. A phone number is optional but speeds things up.

  4. Add a personal note (optional)

    A one-line note like "Hi Mike — Sarah from the board recommended you for this. Would love to see a bid." goes a long way. The note appears in the invitation email.

  5. Send the invite

    They get an email with a link to:

    • Create a free BidMyCommunity account (takes 2 minutes)
    • See your project details
    • Submit a bid

    If they already have an account, they jump straight to your project.

What invited contractors see

Invited contractors get the same project info as anyone else — description, documents, budget, timeline. The only difference is that the invitation appears at the top of their dashboard with your personal note.

They're not locked into bidding. If the project isn't a fit, they can decline and you'll see "Declined" in their row on your bidders list.

Are invited contractors any different?

For billing — no. If they win, they pay the same 2.5% platform fee as anyone else.

For visibility — yes, slightly. Invited contractors show up at the top of your bidders list with an "Invited" badge so you can see who came from your network vs. who found you organically.

Mix and match. The best results come from inviting 1–3 vendors you trust *and* letting the platform notify a wider pool. You get the comfort of a known bidder plus the price discipline of real competition.
